Key Responsibilities
- Rental Administration
- Prepare and issue lease agreements
- Prepare lease renewal agreements
- Draft and process lease addendums
- Maintain accurate tenant and landlord records
- Provide administrative support to rental agents
- Applications & Tenant Processing
- Process rental applications
- Track and manage pending applications
- Ensure all supporting documentation is received
- Liaise with applicants and agents regarding application progress
- Financial Administration

- Capture rental transactions on the property management system
- Reconcile tenant accounts and rental payments
- Assist with resolving payment discrepancies
- Maintain accurate financial records
- Compliance & Documentation
- Attend to FICA compliance and verification
- Ensure all required documentation is obtained and filed
- Maintain proper audit trails and documentation records
- Systems Administration
- Work within the PayProp property management system (or a similar platform)
- Capture and maintain accurate tenant and lease information
- Use Excel and Microsoft Office for administrative and financial tracking
Minimum Requirements
- Previous experience in property administration, rentals, or property management
- Strong administrative and organisational skills
- Good numerical ability and reconciliation skills
- Experience with PayProp or similar property management software will be advantageous
- Proficient in Microsoft Excel and Microsoft Office
- Strong attention to detail
- Good communication skills
